Privacy Policy

1. WHO WE ARE AND WHAT THIS POLICY COVERS

Vera Manage LLC (“Vera Property Management”, “we”, “us”) provides commercial property management, office leasing, meeting-room and virtual office services in South Florida. We also present properties for sale and our investment results on this website. Our office is at 1895 Tyler St, STE 404, Hollywood, FL 33020, United States. We are part of Vera Group, a group of affiliated companies based in Florida.

This policy explains what personal information we collect through veramanagement.com (the “Site”), how we use it, who receives it, and the choices you have. It also covers the messages, voice conversations and requests that start on the Site. It does not cover other websites we link to, including other Vera Group sites, which have their own policies.

Use of the Site is also governed by our Terms and Conditions. Questions about this policy: info@veramanagement.com.

2. INFORMATION WE COLLECT

Information you give us

We collect what you enter, send or say on the Site. Depending on what you do, this may include:

• Contact forms (for example, Request more information, Schedule a Tour, Request a Management Quote, Inquire About Virtual Office, and the pop-up form for a value-add assessment, the tenant portal or booking a meeting room): your name, email address, phone number (optional) and message. If you start from the property-address box on our home page, we also receive the property address you typed. With each form, we receive the address of the page you sent it from.
• Voice assistant: if you start it and allow your microphone, your voice, a recording of it and its transcript, any messages you type to it, and the assistant's replies (see Voice assistant).
• Job applications: if you email us an application from our Careers page, the email and what it contains, such as your contact details, résumé, work history and qualifications.

A form sends what you entered when you press Submit.

Information collected automatically

• Request data our host, Vercel, receives each time your browser loads a page: IP address, browser and device type, operating system, language, the page requested, the referring page and the time.
• Request data Google receives when a page loads typefaces from Google Fonts: IP address, browser data and the page requesting the font.
• On Our Portfolio: your browser requests the investment-results data and property photos from Vera Finder (api.verafinder.com), which receives your IP address, browser data and the address of our Site.
• After you allow Analytics: through Google Analytics and Yandex Metrica, the pages you view, time on page, links and downloads you click, screen size, how you reached the Site (including campaign tags in the link), device and browser details, IP address and approximate location (country, region and city), and cookie identifiers. Our Metrica code has session recording (Webvisor) and click maps turned off.
• After you allow Functional (or press Load map or Load video): Mapbox receives your IP address, browser data, the map area shown and map-load and usage events; YouTube receives your IP address and browser data and may store identifiers in your browser once you play the video.
• Cookie and similar-technology data, including your consent choices (see Cookies and Similar Technologies).

3. HOW WE USE YOUR INFORMATION

• To answer your request and provide our services: contact you, arrange tours of office space and meeting-room bookings, prepare management quotes and value-add assessments, and prepare offers, leases and agreements.
• To keep records of our communications and transactions.
• To run the voice assistant: answer what you ask and make the conversation available to our team so we can follow up.
• To consider job applications.
• To understand how the Site is used and improve it, only after you allow Analytics.
• To protect the Site and its users: block spam, bots and fraud, keep the Site secure and fix errors.
• To comply with the law, respond to lawful requests, and establish or defend legal claims.

We do not use your personal information for a purpose that is unrelated to or incompatible with these purposes unless we first ask for and receive your consent.

4. COMMUNICATIONS THROUGH THE SITE

Contact forms

When you press Submit, the Site sends what you entered, the address of the page you are on and, from the home-page form, the property address to our server (a Vercel function), which forwards them to our CRM, a Bitrix24 installation at crm.veragrp.com that is stored in Russia (see Providers and Other Recipients). What you enter in a form is sent only when you press Submit. Our staff read it to answer you. We may contact you about your request by email, phone call or text message at the details you give. You can ask us to stop at any time by writing to info@veramanagement.com.

Voice assistant

Our voice assistant is an AI. It starts only after you press Start voice assistant and allow microphone access in your browser. Pressing Start voice assistant loads the ElevenLabs widget and, if Functional cookies are off, switches them on. Your voice is recorded and transcribed by ElevenLabs, which also generates the spoken replies. Recordings and transcripts are kept as set in our ElevenLabs account and are available to our team. The notice next to the start button says this each time, and pressing Start voice assistant is your agreement to the recording. You can stop at any time by ending the call in the widget. If you do not want to be recorded, contact us through a contact form or by email at info@veramanagement.com instead.

AI answers can be wrong, and nothing the assistant says is a binding offer. Please do not share sensitive information, such as Social Security, bank account or card numbers, in a voice conversation.

Job applications

Our Careers page asks you to email your résumé to the Gmail address shown there (skultyshev@gmail.com) or to send it by post to our office. An application you email is received and stored by Google (Gmail). We use what you send to consider your application.

The providers named in this section receive the content to provide their service to us and handle it under their own terms (see Providers and Other Recipients).

5. PROVIDERS AND OTHER RECIPIENTS

These companies receive personal information through the Site or from us. Most process it only to provide their service to us. Yandex (Metrica) may also use it for its own purposes (see Sale and Sharing of Personal Information).

Each provider handles data under its own terms and privacy policy, which can differ from ours. “After you allow” means the provider is not contacted until you switch that category on, in the banner or in Cookie Settings, or press the button named in that row.

We may also disclose personal information when the law requires it, for example in response to a subpoena or other legal process, or when needed to establish or defend legal claims.

6. COOKIES AND SIMILAR TECHNOLOGIES; YOUR CHOICES

Cookies are small files a site stores in your browser. Similar technologies include local storage and scripts that send data to a provider when a page loads. The table below lists the cookies and browser storage the Site uses.

Your choices

• On your first visit, a banner lets you accept all, reject all, or choose by category: Strictly necessary, Functional, Analytics and Marketing. Only Strictly necessary is on by default. Functional (the home-page video, maps and the voice assistant) and Analytics (Google Analytics and Yandex Metrica) stay off until you switch them on. Nothing on the Site uses the Marketing category.
• Pressing Load video, Load map or Start voice assistant switches Functional on. If you have not made a cookie choice yet, it opens Cookie Settings instead.
• You can change or withdraw your choice at any time with Cookie Settings in the footer of our main pages, or with the button at the end of this section. If you withdraw Functional or Analytics, the page reloads so those tools stop. If you withdraw Analytics, our consent tool also deletes the Google Analytics and Yandex Metrica cookies it can reach on our domain. Cookies that providers set on their own domains, and items maps or videos stored in your browser, remain until they expire or you delete them in your browser.
• Your choice is stored in a cookie named vera_manage_privacy_consent for 365 days: the categories you chose, when you chose, the banner version and a random ID for that choice. When the cookie expires, or when we add a category that needs a new choice, we ask again.
• Your choice applies to the browser and device you used.

What loads regardless of your choices

These load without consent because the Site or a feature on the page uses them:

• Vercel (hosting), on every page.
• Google Fonts, on every page.
• Vera Finder (api.verafinder.com), on Our Portfolio, for the investment results and property photos.

We do not use these for our analytics or advertising, but each provider receives your IP address and browser data when your browser contacts it and handles it under its own terms (see Providers and Other Recipients).

Global Privacy Control (GPC)

If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of the sale and sharing of your personal information and of targeted advertising. Each time you open or reload a page of the Site while the signal is on, our consent tool switches Analytics and Marketing off, including any consent you gave to them earlier, and Cookie Settings shows that the signal is being honored. Google Analytics and Yandex Metrica do not load while the signal is on, even if you switch Analytics on. The signal applies to the browser that sends it.

Do Not Track

We do not respond to Do Not Track (DNT) signals. We honor GPC as described above.

Some providers listed in this policy, such as Google and Yandex, can recognize your browser on other websites that use their services, and may collect information about your online activities over time and across those websites under their own policies.

Cookies and browser storage

Analytics items are set only after you allow Analytics, and Functional items only after you allow Functional or press Load video, Load map or Start voice assistant. Our code also deletes an old local storage item, cookiesAccepted, that earlier versions of the Site used for cookie choices; it no longer sets it. Third-party items on other domains are governed by those providers' policies. You can also block or delete cookies in your browser settings; blocking Strictly necessary items may break parts of the Site.

7. SALE AND SHARING OF PERSONAL INFORMATION

We do not exchange your personal information for money. The Site has no advertising pixels or tags, and nothing is behind the Marketing category in Cookie Settings.

If you allow Analytics, Yandex receives the information listed for Yandex Metrica in Providers and Other Recipients and may use it for its own purposes under its terms. Some state laws could treat this as a “sale” of personal information or as “sharing” for cross-context behavioral advertising. Analytics is off until you switch it on, and you can opt out at any time with:

• Cookie Settings: switch Analytics off;
• a Global Privacy Control signal from your browser (see Global Privacy Control).

Opt-outs made in the browser apply to that browser and device. We do not knowingly sell or share the personal information of consumers under 16.

8. YOUR U.S. STATE PRIVACY RIGHTS

Some state privacy laws give residents rights over their personal information, depending on where they live and whether the law applies to a business of our size and type. Where applicable law gives you these rights, you can use them as described below.

Notice at collection (California)

The table lists the categories of personal information we collect and have collected in the past 12 months.

We do not ask for sensitive personal information through the Site. Please do not include it in forms, emails or voice conversations.

Your rights

• Know and access: the categories and specific pieces of personal information we hold about you, where it came from, why we use it, the categories we sold, shared or disclosed for a business purpose, and the categories of recipients.
• Delete: we delete what we hold about you, except what the law lets or requires us to keep, such as transaction records.
• Correct: we correct inaccurate information.
• Portability: a copy of your information in a commonly used format.
• Opt out of the sale or sharing of personal information and of targeted advertising (see Sale and Sharing).
• Opt out of profiling used for decisions with legal or similarly significant effects, where state law provides it.
• List of third parties: where state law provides it (for example, Oregon and Minnesota), a list of the specific third parties to which we disclosed your personal information.
• Non-discrimination: we will not deny you services, charge you a different price or give you a different level of service because you used these rights.

How to submit a request

Email info@veramanagement.com. Say which right you are using and the state you live in.

Verification

We verify a request by matching what you give us with what we hold, for example by replying to the email address in our records. A request to delete, or for specific pieces of information, needs a closer match. We use what you give us for verification only for that purpose, and we will not ask for a Social Security number or account password. We confirm receipt within 10 business days and respond within 45 days. If we need more time, we tell you why and may take up to 45 more days.

Authorized agents

An agent can make a request for you with your signed permission. We may ask you to verify your identity directly or to confirm that you gave the agent permission, unless the agent holds a power of attorney under California Probate Code §§4000–4465.

Appeals

If we decline your request, you can appeal by replying to our decision, or by emailing info@veramanagement.com with “Appeal” in the subject. We will tell you in writing what we did or did not do, and why, within 45 days of receiving your appeal. If we deny the appeal, we will tell you how to submit a complaint to your state attorney general.

California “Shine the Light”

California residents may ask once a year what personal information we disclosed to third parties for their own direct-marketing purposes (Cal. Civ. Code §1798.83). We do not disclose personal information to third parties for their own direct-marketing purposes without your consent. To ask, write to info@veramanagement.com with “Shine the Light” in the subject.

Nevada

Nevada residents may ask us not to sell their covered information (Nev. Rev. Stat. Chapter 603A). We do not sell covered information as Nevada law defines it, but you can send a request to info@veramanagement.com.

9. CHILDREN

The Site is meant for adults. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, write to info@veramanagement.com and we will delete it.

10. HOW LONG WE KEEP INFORMATION

We keep personal information for as long as we need it for the purposes described in How We Use Your Information. How long depends on:

• whether you became a client, and the kind of relationship;
• how long we need the records to answer follow-up questions or provide the service;
• legal, tax, accounting and licensing record-keeping requirements;
• disputes and legal claims;
• security and fraud prevention.

• Cookies and browser storage last as listed in Cookies and Similar Technologies.
• Voice recordings and transcripts are kept as set in our ElevenLabs account, as described in Voice assistant.
• Data held by providers under their own terms, such as Google Analytics and Yandex Metrica data, is kept under their policies.

11. WHERE INFORMATION IS PROCESSED

We are based in the United States. Your information is processed:

• in the United States, by Vercel, Google (Fonts, Analytics, YouTube and Gmail) and Mapbox;
• by ElevenLabs, on its servers in the region set for our account;
• in Russia, by our CRM (Bitrix24 at crm.veragrp.com, on servers of JSC Timeweb in Saint Petersburg), which receives what you send through our contact forms, and by Yandex Metrica (YANDEX LLC), after you allow Analytics;
• by Vera Finder (api.verafinder.com), which serves Our Portfolio, where its provider hosts it;
• on Vercel's worldwide network, and in the other countries where Google has data centers.

The laws of these countries differ from U.S. law, including on when government authorities may access data.

12. SECURITY

We use administrative, technical and physical measures suited to the information we hold, including:

• HTTPS on every page;
• access limited to staff who need it.

No method of transmission or storage is completely secure. If a breach affects your personal information, we will notify you as the law requires.

13. THIRD-PARTY LINKS

The Site links to other websites, such as Google Maps for our addresses, veragrp.com and polyusstudio.com. They are not covered by this policy, and we are not responsible for their privacy practices or content. Please review their privacy policies before giving them your information.

14. CHANGES TO THIS POLICY

We update this policy when our practices change and change the date at the top. When a change is material, we post a notice on the Site when it takes effect. Where the law requires your consent to a new use, we ask for it first.
